First, two numbers people confuse
Ice machines are rated by two different capacities, and mixing them up is how businesses end up short:
- Production capacity, how much ice the machine makes in 24 hours, measured in pounds.
- Storage capacity, how much the bin holds at once.

Step 1: Estimate your daily ice need by business type
These are the widely used industry rules of thumb. Find your operation and multiply:
- Full service restaurant: about 1.5 pounds of ice per guest served per day
- Casual dining: about 1.5 to 2 pounds per seat
- Fine dining: about 3 to 5 pounds per guest
- Bar or lounge: about 3 pounds per seat, and 3 to 5 pounds at peak for high volume cocktail bars
- Hotel or lodging: about 5 pounds per room per night, add 2 to 3 pounds if guests fill coolers
- Cafeteria or school: about 1 pound per person
- Self service or drive through: about 2 to 3 pounds per person
- Healthcare: about 7 pounds per bed
- Salad bar or cold display: about 35 pounds per linear foot
- Grocery seafood or meat display: about 35 pounds per cubic foot of display per day
Prefer to count drinks instead of seats? Budget roughly 45 pounds per 100 small (12 ounce) drinks, 60 pounds per 100 medium (16 ounce), and 90 pounds per 100 large (24 ounce).
Worked example: a 200 seat restaurant serving lunch and dinner, about 400 covers a day, at 2 pounds per cover needs roughly 800 pounds a day of ice before you add anything.
Step 2: Size for your peak day, not your average
This is the rule that saves businesses from running dry. Ice demand is not flat. A slow Tuesday might use 60 percent of capacity while a Saturday night blows past 100 percent. If you size for the average, you will run out exactly when it costs you the most. Base your calculation on your busiest realistic day.
Boston makes this rule especially important because so much of the demand here is seasonal and event driven. Step 4: Match the bin, do not shortchange storage
The bin is half the system. Two quirks to plan around:
- Ice piles into a peak and trips the machine auto shut off before the bin is truly full, so expect a bin to effectively hold 10 to 20 percent less than its rating. Pick a bin rated 10 to 20 percent above your daily production to compensate.
- For steady all day use, like a busy restaurant, a bin around 70 to 80 percent of daily production is typical. For intermittent, spiky use, like an event hall or a venue with a few huge nights, go bigger, up to 1.5 times daily production, because ice has time to build up overnight and you want it banked for the rush. As the saying goes in the trade, ice storage is cheaper than ice production, so when in doubt, store more.
